Background

Now that the platform supports multiple submissions and submissions of different types - abstracts and sessions - the abstract-related modules have been streamlined and reviewed. Further adaptations will follow in the next months.

Submissions & Review

Changes in sidebar navigation JMT-16480

The “Submissions” and the new “Reviews”-sections are moved to the top of the navigation on the event level.
The previous “Abstracts“-section will still be available for legacy support.

Review Setup - In general

The setup for the new review starts with creating a “Review“ - abstract- and session type of review are available.

Each “Review” can have its own title and deadlines.

Next, from the list of scoring systems one has to be selected and at least one criterion has to be created - e.g. “Overall score“.

In “Review parameters” you can decide which suggestions can be made by reviewers:

Also, the status recommendation can be enabled optionally, as well the “Decline“-option and comment for the reviewers.

Finally, the .docx-template which displays the abstract or the session in the front-end for the REVIEWER must be uploaded

Initial assignment of abstracts or sessions

On “Submissions → Abstract Helpdesk” and “Submissions → Session Helpdesk” we have new options to bulk assign to a “Review“

Only items with the status “Submitted” can be assigned to a “Review“.

Second or multiple reviews

If your data must receive a second (or multiple) review, this is done on the new “Review Helpdesk“ where you have options to filter the list of abstracts or sessions (also here, you first have to select the “Review“) based on the initial review.

Here you can pick e.g. the top 200 abstracts and hit “Assign to review“

Monitoring and final acceptance are also possible on the review helpdesk as the columns show the number of assigned reviewers, the number of reviews and the number of declined reviews.

Review component - Abstract Reviews JMT-12773

The new review component allows a committee of reviewers to review abstracts in multiple variations.

It can be used on the m-anage dashboard as well as on the VMX my-area.


Abstracts can be reviewed:

  • all by the same committee

  • by a committee separated by e.g. topic

  • or separated into multiple rounds of reviews by different committees.

Front-end process for Reviewer:

The reviewers will first see a list of review processes they are assigned to.

From there, they are taken to their actual list of abstracts for review in that process.

The review allows suggestions and scoring in multiple criteria. Additional questions can be raised using “Review Custom Queries”. Also, reviewers can decline a review if they have a conflict of interest.

Backend assignment of reviewers

Reviewers need to be assigned to a review process. The reviews process can be selected on he top when a reviewer is added to the committee.

Then it is possible to assign abstracts to the reviewers using the automation and manual assignment. In the “Abstract review distribution“ the EVENT MANAGER has to select the review process. Then both the list of abstracts and reviewers display the data assigned to the review process and can be assigned to each other as before using

  • the automatic distribution

  • drag&drop to assign a reviewer to a single abstract

  • drag&drop to assign a reviewer to a sub-topic/category of abstracts

  • a filter on both lists and clicking “Assign selected reviewers to selected abstracts“ on the bottom of the page.

Review component - Session Review JMT-14680

The new review component allows a committee of reviewers to review sessions in multiple variations.
Sessions can be reviewed:

  • all by the same committee

  • by a committee separated by e.g. topic

  • or in multiple rounds of reviews by different committees.

Review Helpdesk JMT-15291

A new review helpdesk offers options to verify the “Reviews” status for sessions and abstracts.

Bulk operations allow acceptance, rejection, withdrawal, status reset and assignment to a next round of review of both.

Registration

Swiss QR-Bill JMT-11570

Following the requirements in https://www.six-group.com/dam/download/banking-services/standardization/qr-bill/ig-qr-bill-v2.2-en.pdf and Swiss law, we implement the Swiss QR-Bill for international payments including the reference. Clients will need to include new mergefields in the template used for bank transfer payments and define their financial institution.

Country translations JMT-11627 JMT-11486

The setup to translate countries for a company has been improved. Completely new is the option to sort a country to the top of the list to highlight the countries e.g. for national events.

Abstracts

Affiliation defaults JMT-16537

We set the default fields for affiliations to Institute, Clinic, Department, City, Country. Changes are still possible in the setup Administration → Setup → Input Setup → Addresses → Abstract
